Job Opening: Campaign Assistant

Full Time, Non-Exempt

Reports To: Managing Director of Comprehensive Campaign

Job Summary

Positive Resource Center works to help people affected by HIV/AIDS, substance use, or mental health issues better realize opportunities by providing integrated legal, social, and health services that address the broad range of social risk factors that impact wellness and limit potential. The Campaign Assistant is a full-time employee of the agency and is assigned to the organization's new Comprehensive Campaign. The Assistant will take day-to-day responsibility for campaign tasks, including management of donor database and administrative record keeping. He/she provides administrative support to both the Chief Development Officer and Managing Director of Comprehensive Campaign.


  • Organize and maintain the campaign records database and file systems.
  • Process and track all campaign gifts.
  • Prepare prospect lists, campaign progress reports, and other reports.
  • Produce written documents including agendas, proposals, letters, and other materials.
  • Coordinate logistics for event briefings and house parties.
  • Produce and maintain volunteer leader handbook.
  • Produce customized donor information packets.
  • Manage vendor relations for print materials design and production and events.
  • Manage phones and mail.
  • Schedule appointments.
  • Handle committee and other meeting arrangements.
  • Assist with prospect research and management.
  • Take minutes at campaign committee meetings and prepare minutes for distribution.
  • Coordinate donor “thank you” letters and “thank you” phone calls.
  • Create a Fact Sheet and a list of FAQS (Frequently Asked Questions) to support volunteers who need a quick reference for solicitation purposes.


  • 1-2 years of prior nonprofit development experience preferred.
  • Proficient computer and database skills, including Microsoft Office Suite and Salesforce.
  • Excellent written and verbal communication skills.
  • Excellent customer service and donor relations skills.
  • Ability to balance multiple projects and assignments.
  • Excellent time management skills.
  • Interest and understanding of social and economic justice, HIV/AIDS, and mental health issues preferred.
  • High level of initiative, attention to detail, and strong organizational skills.
  • Experience interacting with individuals from diverse backgrounds.
  • Unquestionable integrity and commitment to professional ethics, and the ability to handle sensitive and confidential information with discretion.
  • Sensitivity to low-income individuals, people with psychiatric disabilities, people with HIV/AIDS, people of color, active drug users, persons with a history of homelessness or incarceration, and individuals in the LGBT community.
  • Some evening and weekend work required.
